Worker Screening Policy

Our commitment to ensuring every person who works with participants holds a valid NDIS Worker Screening Check.

The safety of participants is non-negotiable. This policy establishes the requirements for NDIS Worker Screening Checks across all workers, contractors, and volunteers engaged by this organisation. No person may begin work with a participant before a valid clearance is confirmed and recorded.

Who this policy applies to

This policy applies to all employees, casual workers, contractors, agency staff, students on placement, and volunteers who work in a risk-assessed role — defined as any role that involves direct contact with NDIS participants or access to their personal information. This includes support workers, coordinators, and any management staff who may have direct participant contact.

The requirement

Every person in a risk-assessed role must hold a current NDIS Worker Screening Check issued by the relevant state authority — in New South Wales, this is the Office of the Children's Guardian. The check must be received and recorded in our Worker Screening Register before the person commences any work with participants. Working with a participant without a current clearance on file is a breach of this policy and of the NDIS Worker Screening Act 2020.

The Worker Screening Register

We maintain a Worker Screening Register that records for every worker in a risk-assessed role: their full name, their Worker Screening Check number, the issuing authority, the date of issue, and the expiry date. The register is reviewed monthly. Workers whose checks are due to expire within 60 days receive a written reminder. Workers whose checks expire without renewal are immediately stood down from participant-facing roles until a new clearance is received.

Agency and contractor workers

When engaging agency or contractor staff, we require written confirmation from the agency or contractor that the worker holds a current NDIS Worker Screening Check before they are assigned to any participant. A copy of the clearance document is obtained and recorded in our register. We do not rely solely on agency confirmation — we verify the check independently where possible.

If a check is refused or cancelled

If a worker's application for a screening check is refused, or if an existing clearance is cancelled by the issuing authority, the worker is immediately stood down from all participant-facing roles. We will notify the NDIS Commission as required under the NDIS (Provider Registration and Practice Standards) Rules 2018. The matter is reviewed by the Practice Manager and documented in our incident register.

Record keeping

Worker Screening Register records are retained for a minimum of seven years from the date the worker's engagement ends. Access to the register is restricted to the Practice Manager and authorised management staff. Workers may request confirmation of their own check status at any time.
